About The Position

Endeavor Health Services is seeking a highly professional and detail-oriented Administrative Receptionist to join our administrative office team in West Seneca. This role is ideal for an experienced administrative professional who thrives in a high-skill environment and is committed to excellence in operational efficiency, communication, and organizational management. The Administrative Receptionist will serve as a first point of contact for visitors and partners, ensuring seamless office operations and supporting executive-level administrative functions. This is an on-site position in West Seneca, NY.

Requirements

  • Bachelor’s Degree in Business or Liberal Arts with a minimum of one (1) year experience in an administrative role which required independent judgment and task completion.
  • OR Associate’s Degree with a minimum of three (3) years experience in an administrative role which required independent judgment and task completion.
  • AND Proven ability to manage complex administrative tasks with precision, professionalism, and high attention to detail.
  • Strong organizational skills, ability to prioritize multiple high-level tasks, and capacity to operate independently in a dynamic environment.
  • Valid NYS driver’s license and reliable transportation required for local travel between offices and supply locations.

Responsibilities

  • Provide comprehensive administrative support to ensure the efficient operation of the office.
  • Provide comprehensive administrative support, including document preparation, filing, scanning, copying, binding, and coordinating the distribution of key agency materials.
  • Accurately manage and maintain agency policies, procedures, agreements, and contracts; ensure all documentation is current, organized, and readily accessible.
  • Communicate with managed care organizations and other external stakeholders to resolve administrative inquiries of a non-clinical nature with professionalism and precision.
  • Maintain and manage agency agreements, contracts, and related logs; ensure letters of agreement with external providers are accurate and up to date.
  • Handle confidential and sensitive information with the highest degree of discretion.
  • Record, prepare, and distribute accurate minutes of executive and leadership meetings; maintain detailed and organized records.
  • Develop and sustain an efficient filing system for office documentation.
  • Oversee office operations, including mail distribution, equipment maintenance, and supply inventory, anticipating organizational needs and proactively addressing them.
  • Maintain the agency check log and support financial tracking in alignment with organizational processes.
  • Exhibit exemplary professional communication via phone, email, and written correspondence, representing the organization with integrity and skill.
  • Participate in special projects, agency development initiatives, and marketing efforts as requested by leadership.
