About The Position

The Events & Projects Associate provides administrative, logistical, and operational support for Mission events, projects, and engagement activities. This role assists with planning and delivering staff recognition, outreach, celebration, and remembrance events, and supports culturally safe initiatives in collaboration with the Indigenous Wellness and Reconciliation Team. The position helps implement projects aligned with the Mission: Forward Strategic Plan and departmental priorities, prepares materials, updates templates, and supports communications for Mission activities. Additionally, it provides committee and grant administration support, coordinates donated goods, and maintains inventories and departmental resources, while building positive relationships with internal and external partners and promoting a safe, respectful, and inclusive environment.

Requirements

  • Completion of a three (3) year post-secondary program plus two (2) to three (3) years of recent related experience in administrative, event, project, or office coordination support, preferably in a large or complex organization, or an equivalent combination of education, training, and experience.
  • Strong interpersonal skills with the ability to work collaboratively with staff at all levels.
  • Excellent organizational and time management skills with the ability to manage multiple priorities.
  • Strong written and verbal communication skills.
  • Demonstrated attention to detail and accuracy.
  • Ability to organize, prioritize, and meet deadlines.
  • Ability to support events, projects, and related activities effectively.
  • Ability to handle confidential information with diplomacy, discretion, and professionalism.
  • Ability to follow direction, take initiative, and work independently and as part of a team.
  • Sound judgment, decision-making, and problem-solving skills.
  • Demonstrated project coordination, facilitation, and results-oriented skills.
  • Basic understanding of PHC’s Mission, Vision, Values, and Catholic health care principles, or willingness to learn.

Nice To Haves

  • Experience supporting committees, meetings, calendars, records management, and multiple priorities preferred.
  • Proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint, preferred.
  • Valid BC Driver’s License and access to a reliable vehicle preferred.
  • Experience or interest in culturally safe practices, equity, diversity, inclusion, and reconciliation is an asset.
  • Experience in healthcare, not-for-profit, faith-based, or mission-driven organizations is an asset.
  • Intermediate to advanced proficiency with Microsoft Office Suite (Excel, PowerPoint, Outlook, Copilot), databases, and internet applications

Responsibilities

  • Provides committee and grant administration support, including scheduling, records, and documentation.
  • Coordinates donated goods and maintains inventories, spreadsheets, and departmental resources.
  • Builds positive relationships with internal and external partners through professional service.
  • Promotes a safe, respectful, and inclusive environment for patients, residents, families, visitors, and staff.
  • Performs other related duties as assigned.
  • Provide logistical and administrative support for organization-wide and site-level Mission events, recognition programs, outreach initiatives, and celebrations.
  • Coordinate Long Service Recognition and Mission Awards programs, including materials preparation, tracking, and event support.
  • Support community outreach initiatives through scheduling, communications, and relationship-building activities.
  • Manage event technology such as online platforms, registration systems, participant communications, and post-event materials.
  • Update and maintain website, intranet, and online communication pages.
  • Prepare presentations, reports, speaking notes, spreadsheets, and event materials.
  • Support Mission projects by tracking tasks, preparing meeting materials, and assisting with implementation.
  • Collaborate with the Indigenous Wellness and Reconciliation Team to help ensure culturally safe events and resources.
  • Maintain departmental templates, filing systems, contact lists, and shared resources.
  • Liaise with staff, volunteers, stakeholders, and external partners while handling confidential information with discretion.
  • Assist with grant submissions, research follow-up actions, and continuous improvement initiatives.
