This position is responsible for providing a range of administrative and project support to the NCCN Drugs and Biologics Compendium, Chemotherapy Order Templates, Biomarkers Compendium, Imaging Appropriate Use Criteria, and Radiation Therapy Compendium (referred to below as the compendium group) , as well as providing administrative and project support to the NCCN Patient Information department and its core product, the NCCN Guidelines for Patients®. The position requires attention to detail, flexibility, professionalism, and the ability to manage multiple projects simultaneously. This position coordinates the scheduling of meetings and web conferences and prepares and tracks correspondence and agreements. This position requires minimal (<5%) travel.

Requirements

  • BA in English or Communications or equivalent work experience
  • 3+ years related experience
  • Knowledge of office practices and procedures
  • Proficiency in MS Office products
  • Excellent telephone skills
  • Strong proofreading and organizational skills and absolute attention to detail
  • Excellent verbal and written communication skills and ability to interact effectively with internal and external staff, managers, physicians, and the general public
  • Maintain confidentiality of information, manage multiple priorities, and work effectively despite interruptions
  • Ability to learn and adapt to new technology

Nice To Haves

  • Experience in health-related field (especially oncology) preferred

Responsibilities

  • Schedule meetings, teleconferences, web conferences, and other departmental meetings related to compendium group and patient information.
  • Provide administrative support for multiple committees, including management of NCCN dashboard committee sites, addition and removal of members, survey creation, contribution to planning and logistics for in-person meetings, attendance tracking, and assistance with follow up communication.
  • Perform updates in NCCN Dashboard and Salesforce.
  • Collaborate with the IT Department regarding any updates to the Dashboard system related to Compendia and Templates processes.
  • Coordinate and track reviews of Compendium material and communication with reviewers; Maintain records of correspondence.
  • Support all phases of development and publication of NCCN Guidelines for Patients.
  • Send draft patient guidelines to designated NCCN Panel Members for review. Follow-up as necessary to ensure timely receipt of feedback. Track all phases of medical review in Salesforce.
  • Send alerts to NCCN Panel Members, Patient Advocacy Groups, and health educators when new or updated patient guidelines are published.
  • Send alerts to licensees with Compendium updates
  • Monitor patient guideline survey responses received via SurveyMonkey. Share relevant responses with appropriate Medical Writer(s) and Sr. Director, Patient Information Operations.
  • Receive and screen incoming telephone calls and general inquiry emails to NCCN; assist or transfer calls and emails to appropriate parties.
  • Provide back up to Receptionist as needed; assist with visitors and deliveries to NCCN
  • Perform general clerical duties – prepare documents, data entry, copy, mail, fax, and maintain files.
  • Perform other related duties as assigned.
