About The Position

This position serves as the primary administrative executive assistant to the Developmental Disabilities Services (DDS) Director and leadership team, coordinating executive operations and communication across the division. Responsibilities include managing executive schedules and calendars, coordinating meetings, and developing meeting agendas. The role also involves supervising a small team of Human Resources Liaison staff who handle personnel-related matters, including hiring, onboarding, and personnel actions. The incumbent will ensure standardized HR processes, provide guidance to staff, and support program planning and operational coordination efforts for the division by assisting leadership with administrative, organizational, and communication needs. Employees at this level are assigned responsibilities involving the coordination and management of administrative and operational functions in support of division leadership, performing duties at varying levels of complexity to ensure leadership priorities and operational processes are implemented efficiently.

Requirements

  • A bachelor's degree and three (3) years of professional experience in business or public administration; OR an equivalent combination of education and experience, substituting one year of technical administrative experience for each year of the required bachelor's degree.
  • One year of technical administrative experience may also be substituted for one year only of the required experience.
  • Technical administrative experience would include highly complex clerical work gained under the direct supervision of a professional supervisor or manager.
  • Must possess a valid driver's license and maintain required car insurance.

Responsibilities

  • Coordinate and manage administrative and operational functions in support of division leadership.
  • Serve as the primary administrative executive assistant to the Developmental Disabilities Services (DDS) Director and leadership team.
  • Coordinate executive operations and communication across the division.
  • Manage executive schedules and calendars.
  • Coordinate meetings and develop meeting agendas.
  • Document, summarize, and distribute meeting notes and action items.
  • Organize and coordinate leadership meetings and other division activities.
  • Supervise a small team of Human Resources Liaison staff.
  • Support hiring processes, onboarding, personnel actions, and other HR-related activities.
  • Ensure consistent and standardized processes for HR-related functions across the state.
  • Provide guidance, supervision, and training to assigned staff.
  • Support program planning and operational coordination efforts for the division.
  • Assist leadership with administrative, organizational, and communication needs.
  • Perform assigned duties at varying levels of complexity.
  • Help ensure that leadership priorities and operational processes are implemented efficiently across the division.
