About The Position

Serve as the confidential administrative assistant to the Assistant Principal while providing professional, courteous, and efficient support to students, staff, parents, and visitors. Act as a primary point of contact and help ensure the smooth operation of the school office.

Requirements

  • Previous school employment experience
  • Proficient with Microsoft Office applications, particularly Excel, and demonstrated ability to learn and effectively use database and student information systems.
  • Ability to accurately input and retrieve computer data and work at computer for long periods of time.
  • Must possess a high degree of efficiency and accuracy.
  • Ability to work with general supervision and/or independently.
  • Must possess a high level of skill in communication, both written and verbal
  • Must possess strong interpersonal skills with a demonstrated ability to work harmoniously with office staff, administration, students, and parents.
  • Ability to remain calm in stressful situations.
  • Ability to perform duties with awareness of all district requirements and Board of Education policies.
  • Ability to establish and maintain effective working relationships with students, staff and the community.
  • Proficient in use of a personal computer and related software.
  • Ability to communicate clearly & concisely, both orally and in writing.
  • Ability to develop effective working relationships with students, staff and the school community.
  • Stamina to withstand the rigor of a busy school office.
  • Ability to perform duties with awareness of all district requirements and Board of Education policies.
  • Ability to read, analyze, and interpret documents.
  • Ability to write correspondence.
  • Ability to effectively present information and respond to questions from administrators, staff, parents and students.
  • Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations.

Nice To Haves

  • Bachelor’s degree preferred (relative school district, administrative or data management may be considered in lieu of degree)
  • Experience with PowerSchool, Frontline, FMX and other district systems is preferred; training will be provided as needed.

Responsibilities

  • Prepare, type, and maintain letters, memoranda, reports, forms, and other correspondence; file both general and confidential records.
  • Receive, screen, and route telephone calls and in-person inquiries to the appropriate staff members.
  • Process and distribute incoming and outgoing mail.
  • Utilize district software and computer applications to prepare reports, manage student schedules, and maintain student account information.
  • Operate and maintain proficiency with standard office equipment.
  • Assist with processing requisitions and distributing supplies from inventory or stockroom resources.
  • Maintain accurate student attendance records, including tardy documentation; compile and distribute daily attendance reports.
  • Respond to student accidents and illnesses, assist with transportation and bus-related concerns, and address other issues as they arise.
  • Serve as receptionist at the main office, assisting students, staff, parents, and visitors with questions and requests.
  • Support the Assistant Principal with athletic programs, fundraising activities, and related administrative responsibilities.
  • Record, maintain, and file student information, including contact records, medical documentation, disciplinary records, and locker assignments.
  • Assist in supervising and directing student office assistants.
  • Perform other duties and responsibilities as assigned by administration.
