About The Position

Reporting to the Director, Communications and Operations, the Administrative Officer provides administrative support to the Office of the President and the broader portfolio. Working in a professional and confidential environment, the position is responsible for coordinating a broad range of administrative, financial, and human resources functions that support the effective day-to-day operations of the Office of the President and the broader portfolio. The role ensures administrative processes are coordinated accurately, efficiently, and in accordance with University policies and procedures.

Requirements

  • Undergraduate degree in Business Administration, Human Resources, or a related discipline.
  • Minimum four years of progressively responsible administrative experience supporting senior leaders in a complex organization; or an equivalent combination of education and experience.
  • Experience with financial and human resources administration and the use of financial, human resources, scheduling, and records management systems.
  • Proficiency with Microsoft 365 applications, including Outlook, Word, Excel, PowerPoint, Teams, and SharePoint.
  • Strong organizational, time management, communication, and interpersonal skills, with the ability to manage competing priorities and maintain accuracy.
  • Demonstrated judgment, discretion, and the ability to handle confidential information.

Nice To Haves

  • Knowledge of University of Guelph administrative systems, policies, and procedures is considered an asset.

Responsibilities

  • Coordinates financial and human resources administration, including financial transactions, reconciliations, onboarding, employee documentation, records management, and administrative reporting.
  • Provides administrative support to the Assistant Vice-President, Strategy, Government Relations and Community Engagement, including calendar management, meeting coordination, and related operational activities.
  • Provides administrative support to Student Judicial Services by coordinating hearings, interviews, meetings, committee administration, and related documentation.
  • Monitors shared inboxes, triages inquiries and correspondence, and coordinates appropriate follow-up.
  • Prepares and maintains correspondence, meeting materials, minutes, reports, spreadsheets, tracking documents, and other administrative records.
  • Maintains Office of the President records in accordance with policies and procedures.
  • Provides backup administrative support to the Executive Assistant to the President and assists with special projects and other operational priorities as assigned.
