As the bureau's Administrative Officer 1, you will have a crucial role in managing the administrative tasks of the PA SHPO and ensuring their smooth operations. This includes assisting the bureau director with oversight of personnel and operation budgets, providing internal customer service and human resources support, and coordinating and budgeting for staff professional development. Requirements

  • Two years of experience in varied office management or staff work; and bachelor's degree; or Any equivalent combination of experience and training.
  • At least six months of experience working in a fast-paced high volume environment.
  • At least one year of experience preparing budget estimates.
  • At least one year of experience performing timekeeping duties.
  • At least one year of experience overseeing and tracking annual budgets and monitoring expenses.
  • Must be able to perform essential job functions.

Responsibilities

  • Prepare budget estimates, oversee and track annual budgets, and monitor expenses
  • Process all timesheets, enter time data, research inaccuracies, and correct errors
  • Answer questions, coordinate, and provide support for staff related to coding time, travel expenses, and ordering equipment and supplies
  • Provide technical assistance to the Director, managers, and supervisors in preparing requests and supplying documentation for hiring, separations, and other personnel actions
  • Provide administrative support; participate in leadership meetings; and oversee staff responses to inquiries from the public, researchers, and consultants via phone and email
  • Coordinate staff professional development planning, requests, budget, approvals, and registration
