About The Position

This role serves as the primary point of contact for the company, managing the front desk and providing essential administrative support. The position involves operating the phone system, scheduling customer jobs via computer software, answering inquiries, and reviewing invoices. It also includes performing various clerical duties, ordering office supplies, maintaining logs for licenses and permits, and assisting management with scheduling service work. A friendly and professional demeanor is crucial for interacting with customers and staff.

Requirements

  • Good written and oral communication skills; ability to communicate effectively and project a professional image when giving and taking information in writing, in person and over the phone.
  • Proficient and advanced in Microsoft Word, Excel, Publisher, and PowerPoint.
  • Ability to learn and navigate computer systems and websites necessary to complete job description and other duties as assigned.
  • Effective interpersonal skills with the ability to work with individuals and groups at all organization levels; ability to work independently and as part of a team.
  • Ability to take initiative and prioritize tasks; good time-management, organizational, problem-prevention and problem-solving skills.
  • Ability to work accurately with close attention to detail.
  • Self-motivated, assertive, and perform well in a team environment.
  • Organized and maintain a positive demeanor in all situations.
  • Able to handle a large variety of different tasks daily.
  • Must have a friendly and inviting demeanor to everyone that comes into the building.
  • Must have a valid Drivers License.

Responsibilities

  • Operate phone system and answer incoming phone calls.
  • Operate computer and necessary software to schedule customer jobs.
  • Answer customer inquiries and review invoices.
  • Answer phone calls in a friendly manner, answer questions, and direct customers to the appropriate staff.
  • Perform various clerical duties in support of the entire company.
  • Confer with management concerning questions, procedures, necessary information, forms completion, and problem resolutions.
  • Order supplies for the business office.
  • Keep up to date log of licenses, permits and make sure to submit applications for permits when they expire.
  • Work with management on scheduling certain types of service work.
