About The Position

We are seeking a friendly and organized Administrative Office Assistant / Front Desk Receptionist to join our team. This full-time position involves operating the phone system, managing computer software for scheduling and invoicing, answering customer inquiries, and performing various clerical duties. The ideal candidate will be proficient in Microsoft Office Suite, possess excellent communication and interpersonal skills, and be able to manage a variety of tasks with attention to detail. This role is crucial for maintaining a professional and efficient office environment.

Requirements

  • Good written and oral communication skills.
  • Ability to communicate effectively and project a professional image when giving and taking information in writing, in person, and over the phone.
  • Proficient and advanced in Microsoft Word, Excel, Publisher, and PowerPoint.
  • Ability to learn and navigate computer systems and websites necessary to complete job description and other duties as assigned.
  • Effective interpersonal skills with the ability to work with individuals and groups at all organization levels.
  • Ability to work independently and as part of a team.
  • Ability to take initiative and prioritize tasks.
  • Good time-management, organizational, problem-prevention, and problem-solving skills.
  • Ability to work accurately with close attention to detail.
  • Must be self-motivated, assertive, and perform well in a team environment.
  • Must be organized and maintain a positive demeanor in all situations.
  • Able to handle a large variety of different tasks daily.
  • Must have a friendly and inviting demeanor to everyone that comes into the building.
  • Must have a valid Drivers License.

Nice To Haves

  • 1 year of Data Entry experience (Preferred)
  • 1 year of Customer Service experience (Preferred)
  • Driver's License (Preferred)

Responsibilities

  • Operate phone system and answer incoming phone calls.
  • Operate computer and necessary software to schedule customer jobs, answer customer inquiries, and review invoices.
  • Answer phone calls in a friendly manner, answer questions, and direct customers to the appropriate staff.
  • Perform various clerical duties in support of the entire company.
  • Confer with management concerning questions, procedures, necessary information, forms completion, and problem resolutions.
  • Order supplies for the business office.
  • Keep an up-to-date log of licenses and permits, and submit applications for permits when they expire.
  • Work with management on scheduling certain types of service work.
