About The Position

Atlas Rental Property is seeking an Administrative Coordinator for its Madison-based satellite office. This role will partner directly with the in-market Property Manager and Birmingham-based operations teams to provide administrative, financial, legal, and customer service support for North Alabama tenants and vendor partners. The company is one of the fastest-growing property management companies in the Southeast, managing over 2000 active doors in Alabama, Georgia, and Tennessee.

Requirements

  • Minimum of 2 years experience in a customer service, sales support or administrative role
  • Experience with established KPIs and/or deadlines
  • Proficient with computers and technology
  • Outgoing, positive and professional demeanor
  • Open-minded and receptive to feedback with a focus on continued growth
  • Self-motivated and comfortable in a collaborative, fast-paced environment
  • High school diploma required

Nice To Haves

  • Experience in Property Management is a plus
  • Some college or alternate accreditation preferred

Responsibilities

  • Maintain established office hours for satellite office
  • Answer and manage incoming calls, emails, and tenant inquiries
  • Maintain electronic records and documentation
  • Assist with lease preparation and lease signings
  • Schedule appointments, meetings, and inspections
  • Assist with marketing efforts for available properties
  • Update property marketing descriptions and listing content as needed
  • Order and maintain office supplies, inventory and routine cleaning
  • Ensure office space remains organized, stocked, and presentable
  • Remove and/or coordinate the removal of property signage, lockboxes, and other marketing materials as needed
  • Accept and post rent and deposit payments via drop box and in-person
  • Process tenant payments and maintain accurate records
  • Follow up on delinquent accounts as directed
  • Assist with collection efforts and payment arrangements
  • Assist with the preparation and posting of eviction notices and other required legal notices as needed
  • Post eviction notices and other required notices
  • Prepare court documentation and filings
  • Attend court as needed
  • Track judgments, payment plans, and legal outcomes
  • Coordinate communication with attorneys and legal vendors
  • Manage all tasks and duties related to Section 8
  • Coordinate inspections and required documentation
  • Ensure compliance with housing authority requirements
  • Assist with vendor onboarding paperwork and recordkeeping
  • Coordinate supply pickups and administrative vendor needs
