About The Position

This is a temporary position. The Administrative Coordinator within the College of Health Professions reports directly to the Chair/Program Director and provides comprehensive administrative support to promote the efficient operation of the Physician Assistant Program. Key responsibilities include coordinating clinical education activities and student placements; supporting student recruitment and admissions; preparing and processing contracts and affiliation agreements; maintaining program records and databases; coordinating communication, scheduling, and reporting; and assisting with office equipment and inventories of educational, clinical, and office supplies. The position also prepares and processes work orders for facilities, telecommunications, and creative services. This position serves as a primary point of contact for the program and works collaboratively with students, faculty, clinical sites, preceptors, healthcare facilities, and institutional partners. Assignments are determined by the Chair/Program Director based on program and departmental needs. The College of Health Professions (CHP) serves Arkansas through education, service, and research in the allied health professions. As the only college of its kind within an academic health sciences center in Arkansas, CHP prepares highly qualified healthcare professionals to serve the state’s healthcare delivery system. The College comprises ten academic departments offering programs in Audiology and Speech Pathology; Dental Hygiene; Dietetics and Nutrition; Genetic Counseling; Imaging and Radiation Sciences; Laboratory Sciences; Occupational Therapy; Physical Therapy; Physician Assistant Studies; and Respiratory Care.

Requirements

  • Bachelor’s degree plus two (2) years or a high school diploma/GED plus six (6) years of administrative or related experience.
  • Proficiency in Microsoft Office applications, including Outlook, Word, Excel, SharePoint, and Microsoft Forms.
  • Strong organizational, problem-solving, and time-management skills, with the ability to manage multiple priorities and meet deadlines.
  • Excellent written, verbal, and interpersonal communication skills.
  • Detail-oriented, self-directed, motivated, and able to work effectively both independently and as part of a team.
  • Proof of legal authority to work in the United States on the first day of employment.

Nice To Haves

  • Three (3) years of experience providing administrative support in an executive or professional office environment.

Responsibilities

  • Coordinating student clinical placements in collaboration with clinical sites, preceptors, healthcare facilities, and program faculty.
  • Securing and maintaining required clinical experiences for students.
  • Tracking affiliation agreements and maintaining supporting documentation.
  • Maintaining clinical placement databases, student assignments, rotation records, evaluations, and required reports.
  • Monitoring required documentation for students and clinical sites to ensure compliance with program, institutional, and accreditation requirements.
  • Coordinating clinical schedules and communicating placement details to students, faculty, and preceptors.
  • Assisting with the resolution of placement-related questions and concerns.
  • Supporting clinical education meetings, orientations, and other activities necessary for successful clinical experiences.
  • Preparing correspondence, letters, reports, and memoranda.
  • Scheduling meetings, maintaining calendars, and preparing agendas and meeting materials.
  • Maintaining departmental files and records.
  • Processing purchasing and travel documentation.
  • Assisting with the inventory of office and educational supplies.
  • Supporting program events, accreditation activities, and other departmental operations.
  • Performs additional duties and special projects as assigned to support the Physician Assistant Program.
