About The Position

The Administrative Coordinator provides administrative and operational support to the Program Manager and helps ensure continuity of Colorado NWSS CoE operations. The position supports day-to-day administrative, financial, human resources, website, and program activities and provides backup administrative coverage for the Program Manager during absences. This is a non-benefited, part-time position not to exceed 1,000 hours in a calendar year.

Requirements

  • One year of administrative, program coordination, or office support experience.
  • Demonstrated ability to manage multiple administrative tasks independently and meet deadlines.
  • Excellent written and oral communication skills.
  • Strong organizational skills and attention to detail.
  • Ability to work independently and exercise sound judgment regarding routine administrative matters.
  • Ability to adapt to changing priorities and work effectively in a flexible environment.
  • Ability to prioritize multiple tasks, meet deadlines, and manage competing demands.
  • Ability to maintain confidentiality when handling personnel, financial, and other sensitive information.
  • Ability to quickly learn and navigate new systems, processes, and institutional procedures.
  • Strong computer skills, including proficiency with Microsoft Word and Excel.

Nice To Haves

  • Experience working in a university, public health, research, or similarly complex administrative environment.
  • Experience supporting grant-funded programs or sponsored research.
  • Experience managing website content in Drupal or another content management system.
  • Experience with financial transactions, payments, payroll, purchasing, or other administrative processes at the University of Denver or a similar institution.
  • Familiarity with University of Denver administrative systems and processes, including UKG and Ellucian Banner.
  • Copyediting and proofreading experience.
  • Experience coordinating administrative activities across multiple teams, departments, or partner organizations.

Responsibilities

  • Provide day-to-day administrative and operational support to the Program Manager.
  • Provide backup administrative coverage for the Program Manager during periods of absence, including assisting with routine program operations and time-sensitive administrative needs.
  • Process and track budgetary transactions, payments, payroll, and other financial activities as assigned.
  • Process and coordinate routine HR transactions and personnel-related administrative activities.
  • Maintain and update website content using Drupal or other content management systems.
  • Conduct and report on website SEO and accessibility activities.
  • Review, proofread, and assist with the finalization of documents, presentations, videos, and other media produced by the NWSS CoE prior to distribution.
  • Maintain organized program records and files and assist with tracking deadlines, deliverables, and other administrative requirements.
  • Communicate with internal and external partners as needed to facilitate routine administrative activities.
  • Perform other administrative and program support duties as assigned.
