About The Position

Performs various administrative duties focusing on the timely and accurate preparation and processing. Primary areas of responsibility are collection of required licensure and vaccinations to prepare credentialing documentation required by our customers.

Requirements

  • High School Diploma
  • Minimum of 3 years of experience as an Administrative Coordinator/or administrative equivalent position
  • General knowledge of state and federal compliance laws
  • General Knowledge of required state licensure by position
  • Computer skills and knowledge of office software packages
  • Intermediate knowledge of Microsoft Office programs
  • Attention to detail and high level of accuracy
  • Excellent organizational skills and detail orientation
  • Must demonstrate initiative and ability to anticipate, and problem solve independently.
  • Handle highly confidential information and relate well with all levels of the organization
  • Ability to complete assignments in an accurate and timely manner
  • Advanced verbal and written communication skills
  • Interpersonal skills with the ability to interact professionally with all levels of the organization as well as customers and vendor

Responsibilities

  • Audit of current employment required documents
  • Upload New Hire documents to Document Manager (Driver’s License, position licensure and vaccination information)
  • Send out weekly reminders to Associates for upcoming documents ready to expire
  • Send out weekly reports to management team highlighting documents ready to expire
  • New Hire Paperwork accountability: ensure paperwork is updated and current in bundle. This is an ongoing process.
  • Manage and prepare all facility credentialing requests
  • Manage and upload all facility required credentialing documents in Document Manager
  • Termination Report (Weekly/Monthly)
  • New Hire Report (Weekly/Monthly)
  • Compliance Reporting outlining on‐time compliance tracking
  • School Partnerships – manage school and student required paperwork
  • ExpenseWire – review and process expense reports
  • Accounts Payable – review and code non‐PO invoices
  • Credentialing Approvals – assist with all regions with documentation approvals in UKG
  • Monitor and approve all entries in PowerApps
  • Electronic Filing
  • Audits personnel files, tracks re‐verification of Drivers Licenses, and certifications.
  • Remote Site Liaison for coordination of all materials relating to employment, forms, programs, and communication, including worksite posters as required by law.
  • Knowledgeable with HR module in UKG, maintain accurate database.
  • Participates in education, communication, implementation and training for company programs and initiatives
  • Supports various company initiatives and projects
