About The Position

The Wilma and Peter Veldman Family Psychology Clinic at the University of Notre Dame is seeking an Administrative Coordinator to join our dynamic and mission-driven team. As the public face and organizational heartbeat of the Clinic, this individual will help ensure the smooth daily operations of a space dedicated to advancing mental health care through research, education, and compassionate service to the community. The Administrative Coordinator provides comprehensive administrative and office management support to the Director, faculty, and staff of the Veldman Family Psychology Clinic. This role ensures the smooth day-to-day operations of the clinic by creating a welcoming, organized, and professional environment for visitors, faculty, students, staff, clients, and research participants. This position is central to the clinic’s mission—helping ensure that each person who enters feels seen, supported, and valued.

Requirements

  • Bachelor's degree with 3-4 years of related experience
  • Exceptional organizational and communication abilities
  • Strong capacity to manage multiple tasks and inquiries, even with frequent interruptions
  • Self-motivated with the ability to take initiative, reprioritize responsibilities, and learn quickly
  • Proven ability to maintain strict confidentiality of client and participant records
  • Excellent command of grammar, punctuation, and spelling
  • Demonstrated ability to learn and navigate new platforms, along with proficiency in Microsoft Word, Excel, and various web browsers

Responsibilities

  • Greeting clients, visitors, and community partners with warmth and professionalism
  • Managing phone and email inquiries with sensitivity and confidentiality
  • Overseeing scheduling, mail distribution, and record keeping
  • Coordinating facility maintenance, safety protocols, and building access
  • Managing office supplies and coordinating building maintenance
  • Assisting with special projects and events that bring together faculty, students, and the community
