About The Position

The Administrative Coordinator provides administrative, scheduling, and customer service support to the Police and Security Department, administrative staff, QM and clinical staff, to assure quality, efficient and cost-effective services. Performs significant job responsibilities: Provides direction, answers questions, resolves concerns, and makes appropriate recommendations as needed for police and security department. Assists with Accounts Payable and Materials Management, ID Badging and clerical processes. Ensures data accuracy and collaborates with system departmental representatives. Processes invoices, requisitions, POs, and contracts for TSG and works with the finance/accounting and materials management department. Coordinates and facilitates search warrant and subpoena requests from our external law enforcement agencies to include medical records, labs, or other documentation. Creates and maintains shared drive folders for invoice storage, spreadsheet files, and Word documents as needed. Coordinates lost and found and lost patient property items, makes contact with patients to return property. Composes and/or types correspondence. Provides support for a variety of written materials including material management requests, contract coversheets, and reports. Keeps files and reports in a confidential manner. Communicates with management, clinical staff, and other internal and external customers. Maintains effective written and oral communications with a diverse population. Maintains confidential information. Handles difficult situations with tact and diplomacy.

Requirements

  • Associate degree or equivalent combination of education or equivalent 4 years of experience required.
  • Two years of experience in data collection and analysis and/or advanced secretarial support required.
  • Advanced computer skills with knowledge of a variety of software programs, including Microsoft word, Excel, Access, word processing, spreadsheets and presentation or database software.
  • Excellent communications and organizational skills required.

Nice To Haves

  • Experience in emergency services or physician practice setting preferred.
