Requirements

  • Associate's, Bachelor's, or High School Diploma with Practical Prior administrative, front desk, office coordination, or customer service experience preferred.
  • Proficient in MS Office applications (Word, PowerPoint, and Excel).
  • Current driver's license.
  • Above-average phone, verbal, and written communication skills
  • Ability to work effectively in a team-oriented environment and collaborate with others.

Responsibilities

  • Standard reception tasks such as answering phones, scanning, printing, copying, data entry, and vendor interaction.
  • Maintain a tidy and welcoming office environment; keep the front desk stocked with needed supplies and greet visitors professionally.
  • Track inventory and order supplies, including lab supplies requested by the lab lead, peripheral computer equipment, and general office supplies.
  • Manage copiers by adding paper, ordering toner, coordinating service calls, purging unclaimed printed documents on a regular schedule (end of week), and keeping the copy area clean and organized.
  • Reorder and recycle print cartridges.
  • Oversee facility maintenance requests and serve as the on-site contact to meet with service providers as needed.
  • Check mail, distribute mail, scan accounting mail, and unsubscribe from junk.
  • Outgoing mail/shipping, including hard-copy documents, maps, samples, FedEx/post office runs, and holiday shipments.
  • Serve as Phone Administrator.
  • Assist with travel arrangements.
  • Maintain kitchen supplies, Percasso, and snacks, and assist with light clean up as needed (twice daily).
  • Coordinate in-house lunches (staff brown bags, office events, etc.), including prompt clean-up; set up staff meetings including IT needs, refreshments, and.
  • Serve as the go-to resource for conference room phone and IT setup, and keep the conference room clean and ready to use.
  • Order IT equipment/peripherals as assigned by the IT Committee Lead and present requested items for approval.
  • Serve as the on-site contact for Pavelcomm technicians, including pickup drop-off, server room access, and related coordination.
  • Other shared-services support duties as assigned.
