About The Position

The Harris County Sheriff's Office is seeking qualified applicants for the Support Staff - Administrative Clerk / Clerical Assistant position in the Courts Division. The Administrative Clerk / Clerical Assistant responsibilities include, but are not limited to, data entry, file maintenance, and supporting the public and law enforcement personnel. Support personnel have access to confidential information. Additionally, under the general supervision of the Courts Division Captain, Lieutenant, and Administrative Sergeant, the Administrative Clerk / Clerical Assistant performs duties that include responding to inquiries, maintaining a filing system, tracking and scanning documents, answering telephones, typing and distributing correspondence, data entry and management, acting as a backup for Payroll and other Admin functions, maintaining training records, correlating, entering, and maintaining documents and data in a Microsoft SharePoint database, managing office inventory and supplies, maintaining a calendar, and complying with state and federal law, Harris County civil service, departmental, bureau, and division rules, regulations, and standard operating procedures. Requirements

  • High School Diploma or GED
  • A minimum of one (1) year of paid work experience in an office environment performing clerical duties
  • Pass the pre-employment HCSO Clerical Skills Test with a minimum overall score of 75% and a typing speed of 35 WPM with 85% accuracy.
  • Excellent written communication with proper use of grammar, spelling, and punctuation
  • Effective communication with excellent interpersonal skills
  • The use of Superion/RMS, SharePoint, FileOnQ, and JWeb, computer software, and standard office software programs such as Adobe, MS Office, Word, Excel, PowerPoint, Outlook, and SharePoint
  • Analytical/critical thinking and problem-solving
  • General office methods, procedures, and practices
  • Principles of record keeping and records management
  • Public relations and customer service
  • Reviewing documents and extracting relevant information
  • Establish and maintain effective working relationships with public officials, outside agencies, court staff, and the general public

Responsibilities

  • Respond to inquiries from the public, law enforcement agencies, the District Attorney’s Office, the County Attorney’s Office, County and District Court Staff, and members of the Judiciary
  • Maintain a filing system of memoranda, letters, documents, and other materials for the Courts Division
  • Maintain the tracking and scanning of Jury Meal Vouchers, round sheets, and inspection forms
  • Answer the telephones, take messages, provide information, and refer inquiries to the appropriate party
  • Type and distribute correspondence

  • Act in a backup capacity for Payroll and other Admin functions
