MIRTE’s State Department Programs Division (P770), within the Center for Securing the Homeland (CSH P700), is seeking an experienced and motivated administrative assistant. This successful candidate will operate as an integral part of the P700 administrative support team, working closely with the Center’s executive assistant and other division assistants. This role includes management of schedule, travel, meetings, web/SharePoint products/sites and business office operations for division activities and may include access to and safeguarding of sensitive and classified information. The Administrative Assistant will provide this support across the Center, working closely with all the division directors, and exercising confidentiality, tact, and professionalism. This will include facilitating senior level engagements with State Department, Homeland Security, and industry leadership as well as with foreign dignitaries. This position is onsite full-time in McLean, VA. Candidate must be local to the Washington, D.C. metropolitan area.

Requirements

  • Typically requires a minimum of 4 years of related experience with a High School Diploma or equivalent in education, or 3 years’ experience and an associate degree, or equivalent combination of education and related work experience.
  • Proficiency with MS Office 365 (Outlook, Word, PowerPoint, Excel, SharePoint, and Teams).
  • Ability to deal effectively and professionally with all levels of personnel, customers, and visitors.
  • Strong independent judgment, accuracy, and meticulous attention to detail, with consistent follow-through on a broad range of administrative tasks.
  • Demonstrated ability to proactively anticipate the short- and long-term support needs of the staff and collaborate effectively with colleagues at every level of the organization.
  • Strong organizational skills that reflect ability to anticipate, plan, perform, and prioritize multiple tasks seamlessly with considerable emphasis on self-initiation and independent decision making.
  • Ability to effectively manage multiple tasks simultaneously with minimum supervision.
  • Excellent relationship builder; able to demonstrate a high level of tact, discretion, and diplomacy with internal and external stakeholders
  • Must demonstrate a high level of poise, tact, professionalism, discretion, and diplomacy in dealing with highly sensitive information.
  • Must be eligible to obtain and maintain a Secret U.S Government issued Security Clearance. Per the U.S. Government’s eligibility requirements, you must be a U.S Citizen to be considered for a security clearance.
  • This position has an on-site requirement of 5 days a week on-site.

Responsibilities

  • As the cross-division administrative lead, you will be expected to work independently with only high-level supervision and be able to act on general instructions for new or challenging assignments.
  • The division administrator will work collaboratively with other Division and Center support staff on complex or large-scale tasks.
  • Support Division Operations: Assist in the coordination and streamlining of division processes, communication, and tools.
