Requirements

  • High school diploma or GED.
  • Minimum one year of administrative, customer service, or healthcare office experience.
  • Excellent verbal and written communication skills.
  • Strong organizational skills and attention to detail.
  • Proficiency with Microsoft Office and general computer applications.
  • Ability to prioritize multiple responsibilities in a fast-paced environment while maintaining professionalism and accuracy.

Nice To Haves

  • Previous caregiving experience in home care, home health, hospice, assisted living, skilled nursing, or other healthcare settings.
  • Experience in healthcare administration, medical office operations, or client services.
  • Experience supporting intake, scheduling, or clinical operations.
  • Experience with electronic medical records (EMRs) or healthcare software.
  • Knowledge of medical terminology and healthcare documentation.
  • Home Care Aide (HCA) or Certified Nursing Assistant (CNA) certification, or willingness to obtain if needed for future career development.

Responsibilities

  • Serve as the first point of contact for incoming phone calls, visitors, clients, families, and referral partners.
  • Deliver exceptional customer service and represent Journey Nursing Services professionally.
  • Answer incoming calls and direct inquiries to the appropriate department.
  • Assist clients, families, and referral sources with general questions regarding agency services.
  • Build positive relationships through compassionate and professional communication.
  • Prepare client admission and intake packets.
  • Assist with referral coordination and intake activities as needed.
  • Send, receive, track, and organize physician orders, client forms, and agency documentation.
  • Scan, upload, and maintain electronic records.
  • Maintain organized client and employee files.
  • Coordinate incoming and outgoing mail, faxes, and electronic communications.
  • Order and maintain office supplies and administrative resources.
  • Support Clinical Care Coordinators, Scheduling, Human Resources, and Leadership with administrative tasks and special projects.
  • Assist with onboarding paperwork and employee file management.
  • Help ensure documentation is complete, accurate, and organized.
  • Support agency growth initiatives and process improvement projects.
  • Perform additional administrative duties as assigned.
