About The Position

The Administrative Associate IV works under general supervision and provides advanced administrative support work. This role involves providing advanced administrative support, potentially serving as a personal assistant, and maintaining office schedules and appointments. The position requires researching and analyzing administrative requirements for programs or projects, providing technical information on administrative procedures, and assisting in the development of office procedures. The role also involves explaining, applying, interpreting, and communicating policies and procedures, and potentially monitoring compliance. Key duties include maintaining fiscal, administrative, and academic records, verifying and processing documents, performing special analyses, and assisting in the planning of special events. This includes making arrangements for meetings, appointments, conferences, and travel, and potentially setting up facilities, equipment, and food for events. The role also coordinates the maintenance of files, records, office supplies, and equipment, and maintains office reference materials. Additionally, it may involve handling cash payments, documents, supplies, or materials, and assisting management in supervising student workers and support staff, including processing confidential matters. Additional responsibilities include providing assistance to other departments in the college as needed and assisting the director and program specialist with the implementation of K-12 school groups, public shows, and TAMIU classes, including scheduling, ticket booth sales, and billing.

Requirements

  • High school diploma or GED.
  • Four years of related experience.
  • Knowledge of word processing, spreadsheet and database applications.
  • Ability to multitask and work cooperatively with others.
  • Strong verbal and written communication skills.
  • Strong interpersonal and organizational skills.
  • Ability to work with sensitive information and maintain confidentiality.
  • Evening and/or weekend hours may be required.
  • Position requires on-campus, face-to-face interactions.
  • Position requires maintaining a regular schedule of attendance on campus and in the workplace.

Responsibilities
