About The Position

The Administrative Assistant IV is responsible for providing support to the Human Resources team by ensuring the effectiveness coordination of daily activities and adherence to corporate administrative and safety requirements. This role supports a high-volume, fast-paced environment and contributes to team efficiency through strong organizational, clerical, and coordination capabilities.

Requirements

  • College diploma in Office Administration, Business Administration, or a related field
  • Minimum 2 years of relevant administrative experience
  • Proficiency with Microsoft Office applications, including Excel, Word, PowerPoint and Outlook
  • Experience working with SharePoint, Oracle, and PeopleSoft
  • Strong attention to detail with a commitment to accuracy and quality
  • Demonstrated ability to exercise sound judgement and handle confidential information with discretion
  • Excellent interpersonal, verbal, and written communication skills
  • Strong organizational, prioritization, and multi-tasking abilities with the capacity to manage competing deadlines
  • Ability to work independently while collaborating effectively with diverse teams and stakeholders
  • Self-motivated, proactive, and capable of taking initiative to resolve issues and support business objectives
  • An equivalent combination of education, training, and experience may be considered

Responsibilities

  • Provide advanced administrative support to the team by coordinating meetings, events, and other business activities.
  • Manage calendars, schedules, and email correspondence, ensuring priorities and deadlines are effectively coordinated.
  • Organize travel arrangements and related logistics.
  • Maintain office supply inventories and coordinate incoming and outgoing mail and package handling.
  • Develop, edit, and maintain business documents, spreadsheets, presentations, records and SharePoint sites.
  • Support compliance with Occupational Health & Safety requirements by tracking safety program activities, maintaining training records, and monitoring completion of mandatory training.
  • Process invoices, prepare and submit expense reports, and maintain payroll-related information in accordance with established procedures.
  • Support reporting and administrative processes by maintaining approval records assisting with budget preparation and variance analysis, assist with Balanced Scorecard data tracking and reporting.
  • Collaborate with internal stakeholders to support operational and business objectives.
  • Perform additional responsibilities aligned with the needs of the business unit and team.
  • Participate in and support storm restoration and emergency response activities as required.
