About The Position

The Town of Leesburg is seeking a creative, proactive, and customer-service-oriented Administrative Associate II to join the Water Supply Division in the Department of Utilities. The position involves performing secretarial, administrative, financial, and contract support work, including maintaining computerized files, preparing reports, processing invoices and bills, handling correspondence, answering calls, and processing mail. Additionally, the role supports budget analysis, contract management, purchase order entry, accounts payable, and purchase card processing.

Requirements

  • High School diploma or GED equivalent.
  • Minimum of six (6) years of administrative support experience.
  • Experience handling a wide array of financial, budgeting and procurement matters.
  • Experience working with top management officials and supervisors in an organization.
  • Proficiency in all MS Suite applications and applications appropriate to the position.
  • Excellent communication and customer service skills.
  • Ability to manage priorities and workflow.
  • Possession of a valid driver’s license and a safe driving record.

Nice To Haves

  • Coursework in computers or business administration.
  • Experience with financial and asset management software, preferably Tyler Technologies.
  • Experience in local government or public utilities.
  • Bilingual in English/Spanish.

Responsibilities

  • Maintaining and updating various types of computerized files.
  • Typing and preparing operational reports.
  • Processing invoices and bills using the Town’s financial system.
  • Handling correspondence.
  • Answering and directing incoming calls.
  • Processing of daily mail.
  • Providing support for budget analysis and planning.
  • Providing support for contract management.
  • Providing support for purchase order entry.
  • Providing support for accounts payable.
  • Providing support for purchase card processing.
