About The Position

Benjamin Franklin Charter School is looking for an Administrative Assistant to join our Crismon Elementary Team for the 2026-2027 school year. Under the direction of the campus principal, the Administrative Assistant is responsible for managing the daily operations of the front office and providing comprehensive clerical and administrative support to campus leadership. This role requires strong organizational skills, effective communication, and a commitment to fostering a welcoming and professional school environment.

Requirements

  • Arizona IVP Fingerprint Clearance Card
  • Will be required to pass a criminal background check upon hire
  • Office administrative or management experience
  • Digital literacy and familiar with standard office platforms (Ex: Microsoft Office and Google)

Responsibilities

  • Coordinate and manage calendars for the principal, assistant principal, and other school leaders.
  • Schedule internal and external meetings, classroom observations, field trips, assemblies, and other school events.
  • Maintain and distribute the schoolwide calendar of events and facility usage.
  • Provide comprehensive clerical and administrative support to campus administrators and teaching staff.
  • Secure and coordinate substitutes for teachers and instructional assistants.
  • Attend staff meetings; record attendance and take accurate meeting notes.
  • Draft, edit, and distribute internal and external communications, including emails, notices, and announcements for staff, students, and families.
  • Answer, screen, and direct incoming phone calls; take and relay accurate messages as needed.
  • Open, sort, and route incoming mail; prepare and send outgoing mail.
  • Manage the daily functions of the front office, maintaining a welcoming and organized environment for students, staff, and visitors.
  • Orient new staff to campus procedures, including building access, payroll, communication systems, and technology use.
  • Prepare and print student awards and certificates (e.g., Principal’s List, Honor Roll, Student of the Month, and end-of-year recognition).
  • Process campus payroll for hourly staff and designated teaching personnel.
  • Record and process payments for extracurricular fees, club dues, ticket sales, fundraisers, and staff committees.
  • Occasionally perform light to moderate lifting related to supplies, event setup, or school materials.
  • Maintain accurate and confidential records, files, and school databases.
  • Prepare reports and documentation in compliance with school, district, and state requirements.
  • Ensure timely and organized information flow across departments and stakeholder groups.
  • Support campus leadership with additional tasks and special projects as assigned to promote a well-functioning school environment.
