About The Position

Aston Carter is partnering with a client seeking a detail-oriented Administrative Assistant for a 3–6 month contract. This role supports the Rebates Department and offers the potential for extension or conversion to a permanent position. This is an excellent opportunity for someone who thrives in a fast-paced, high-volume environment and enjoys working with financial documentation, data, and reporting.

Requirements

  • Proficiency in Microsoft Excel (data entry, reporting, organization)
  • Strong administrative support experience
  • Experience with invoice processing and financial documentation
  • High level of accuracy and attention to detail

Nice To Haves

  • Experience with MS Great Plains (ERP)
  • Post-secondary education in Business Administration or related field
  • Industry experience in wholesale distribution or forestry
  • Experience working within a publicly traded company
  • Proven ability to work in a high-volume, deadline-driven environment

Responsibilities

  • Organize, scan, and maintain financial documents and payment records with accuracy
  • Ensure digital and physical filing systems are structured, up-to-date, and audit-ready
  • Prepare and generate weekly, monthly, and annual reports
  • Support reconciliation activities across multiple regions and business units
  • Compile payment documentation and prepare materials for leadership review and approval
  • Assist with month-end and quarter-end close processes
  • Perform data entry and administrative support tasks as required
