About The Position

The Administrative Assistant provides administrative, accounting, and operational support for the Minnkota Windows site. This role involves greeting and directing visitors, managing incoming calls, correspondence, and records. The Administrative Assistant supports the Accounting Manager, Technical Services Manager, Site HR Business Partner, Supply Chain Manager, and site staff with day-to-day administrative and financial tasks. This position serves as an intercompany liaison and requires a high level of organization, confidentiality, accuracy, and responsiveness in a fast-paced manufacturing environment.

Requirements

  • Proficient with Microsoft Office (Word, Excel, Outlook) and able to learn company systems (including accounting/ERP tools).

  • Sound judgment and problem-solving skills; able to identify issues and escalate appropriately.
  • Ability to work independently and collaboratively while maintaining confidentiality.
  • High School Diploma or GED required.

Nice To Haves

  • Post-secondary coursework/degree in administration, accounting, or related field preferred (or equivalent experience).
  • Minimum of one to three years of administrative and/or accounting experience preferred.

Responsibilities

  • Engage in team-based lean and continuous improvement activities to improve workflows and efficiency.
  • Greet visitors, manage the visitor log, and direct visitors to appropriate areas.
  • Answer and route calls on the main phone line; manage general email and correspondence as needed.
  • Maintain front office, public areas, and conference rooms in a clean and professional condition; coordinate office/lunch set-ups for meetings and events.
  • Coordinate building and office services (e.g., janitorial/cleaning services, window cleaning) and purchase office supplies.
  • Distribute and process incoming/outgoing mail.
  • Provide administrative support to site leadership and staff, including data entry, reporting support, and interoffice communications with Corporate.
  • Support site A/R and A/P activities, including invoicing, collections support, payment processing, responding to invoice questions, and providing invoice copies/supporting documentation.
  • Maintain customer order and invoice data to support accurate financial and operational reporting.
  • Maintain files and records (electronic and/or hard copy); scan and file documents per company procedures.
  • File warranty registrations by transferring customer warranty registration information to the order number in Web CP as an attachment.
  • File service records by attaching all service documentation, including the initial customer request and the completed actions by the service technician.
  • Assist HR with site and recruiting support as needed.
  • Support purchasing activities as needed (e.g., purchase order confirmations, non-inventory purchases, P-Card transactions).
  • Follow all safety and quality requirements.
  • Prompt and dependable attendance.
  • Other duties as assigned.
