About The Position

A 20-year-old IT company located in Coppell, TX specialized in customer experience and contact center technologies seeks a highly organized and detail-oriented Administrative Assistant to provide administrative support to the Office/Operations Manager and office team, including receptionist duties such as greeting guests, answering phone calls, and representing the company in a professional manner. This is a highly visible position within the company and requires an outgoing, professional personality and willingness to be helpful to all staff.

Requirements

  • Must have a minimum of 2 years’ experience as Admin Assistant
  • A proactive attitude towards problem-solving and a willingness to learn new skills
  • Must be adaptable to changes sometimes without advance notice
  • Must be able to work effectively in a sometimes fast-paced atmosphere
  • Proficient using Microsoft 365
  • Manage & maintain accurate records and databases
  • Effective time management and organizational skills
  • Strong interpersonal and communication skills (written & verbal) with ability to be diplomatic, tactful, and professional
  • Ability to handle projects independently with minimum direction
  • Strong organizational skills with the ability to prioritize tasks effectively
  • Strong decision-making skills
  • Beyond daily administrative tasks, you will occasionally have larger projects to support
  • Must be a self-starter
  • Ability to learn new software
  • Ability to pass a background check and drug test

Responsibilities

  • Receptionist duties to include greeting visitors and answering phones
  • Perform data entry tasks accurately and efficiently to maintain up-to-date records
  • Create and update Excel spreadsheets and other documents as required
  • Manages various office needs, such as mail, deliveries, and errands
  • Keep breakrooms, seating areas, conference areas, main desk, and coffee bars clean, properly stocked, and well-organized
  • Prepares and distributes reports
  • Assist Office/Operations Manager with coordination of events
  • Maintain proper inventory of office supplies
  • Performs other duties as assigned
  • Serves as designated backup to the Office/Operations Manager
