About The Position

Catholic Charities of the Archdiocese of Newark is seeking a Full-Time Administrative Assistant for their Jersey City shelter location. This role is crucial for supporting the daily operations of the Housing Division. The ideal candidate will be dependable, detail-oriented, proactive, and able to work independently with minimal supervision. The position requires the ability to handle confidential information professionally and work effectively in a fast-paced environment with frequent interruptions and changing priorities. The agency's mission is to serve the poor and marginalized and advocate for their needs in response to the Gospel of Jesus Christ, promoting the dignity and worth of all people.

Requirements

  • High school diploma required.
  • Minimum 2 years of administrative assistant, office coordination, or clerical experience required.
  • Strong proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and Teams.
  • Ability to maintain accurate records, track documentation, and manage multiple priorities simultaneously.
  • Excellent organizational, time management, and follow-up skills.
  • Strong written and verbal communication skills.
  • Ability to handle confidential and sensitive information with professionalism and discretion.
  • Comfortable working in a fast-paced environment with frequent interruptions and changing priorities.
  • Ability to interact professionally with staff, clients, vendors, and community partners.
  • Must be dependable, detail-oriented, proactive, and able to work independently with minimal supervision.

Nice To Haves

  • Associate’s or Bachelor’s degree preferred.
  • Prior experience in a nonprofit, social services, shelter, healthcare, behavioral health, or fast-paced human services environment strongly preferred.
  • Experience answering multi-line phones, scheduling appointments/meetings, and supporting multiple team members preferred.
  • Ability to take meeting notes and prepare professional correspondence and reports.
