About The Position

Barrington Middle School is looking for an administrative assistant in the school's main office who is able to maintain a warm and service-oriented atmosphere while interacting daily with students, staff, parents, and the community. The primary responsibility of this role is to provide high-level administrative and clerical support to the Building Principal and the Assistant Principal. They also work closely with the main office secretary, as well as other administrative assistants in the district.

  • Assist in developing, managing, and monitoring school budgets.
  • Track expenditures and prepare monthly budget reports.
  • Initiate purchase orders.
  • Confirm pricing.
  • Maintain inventory of office supplies.
  • Follow up on lost orders.
  • Record student activity funds (fundraisers, field trips).
  • Coordinate with the central office for check writing.
  • Post deposits.
  • Ensure money is secured in the school safe.
  • Enter daily student attendance.
  • Manage staff absence records/payroll time sheets.
  • Prepare monthly/year-end state reports.
  • Coordinate new student enrollment.
  • Perform boundary checks.
  • Complete paperwork for new student enrollment.
  • Enter data for new student enrollment.
  • Support school safety evacuation plans.
  • Monitor student arrival/dismissal.
  • Coordinate field trip scheduling and transportation.
  • Assist with substitute teacher coverage.

Responsibilities

  • Greet visitors, answer and refer telephone calls, and respond to public requests for information with tact and courtesy.
  • Prepare and distribute announcements, and general correspondence; record and transcribe meeting minutes.
  • Maintain office and student files (both manual and computerized), manage the building use calendar, and track the Principal’s schedule.
  • Process and distribute mail, prepare mailings, and run errands to the bank or central office as needed.
  • Assist in developing, managing, and monitoring school budgets; track expenditures and prepare monthly budget reports.
