About The Position

Kokosing is seeking an Administrative Assistant to provide comprehensive administrative support to the Support Operations Team. This role involves managing confidential information, coordinating meetings and travel, handling office administration, and assisting with special projects and events. The ideal candidate will be proficient in Microsoft Office Suite, possess excellent organizational and communication skills, and have a detail-oriented and self-motivated approach. Intermediate proficiency in graphic design concepts is also desired to support creative and marketing needs.

Requirements

  • Excellent writing, spelling, grammar and proofreading skills
  • Proficient in Microsoft Office Suite, including Word, Excel, PowerPoint, Outlook, and Teams
  • Typing (50+ wpm)
  • Ability to organize, prioritize, and produce quality work
  • Ability to effectively multi-task
  • Excellent interpersonal communication skills, both verbal and written
  • Adaptable to changing demands from multiple people
  • Detail and deadline oriented, and punctual
  • Self-motivated to complete assignments in a timely manner
  • Have a forward-thinking, innovative mindset and a willingness to leverage emerging technologies, including AI tools, to improve efficiency and effectiveness.
  • High school diploma or equivalent experience required.
  • Associate or bachelor’s degree in business administration, marketing, communications, or a related field (or equivalent experience).

Responsibilities

  • Provide administrative assistance to Support Operations equipment team for department level projects.
  • Prepare and handle confidential information, including correspondence, reports and other company documents.
  • Coordinate meetings, develop agendas, document discussion points, and track action items to completion.
  • Make travel arrangements for Support Operations Team as needed.
  • Receive vendors and guests and maintain good public relations with them.
  • Prepare and proofread correspondence, memoranda, and other documents.
  • Perform calendar management.
  • Perform miscellaneous filing and clerical tasks.
  • Maintain compliance management for Support Operations Team as needed.
  • Organize charity donation efforts, retirement celebrations, and misc. events.
  • Coordinate and perform all general office administration functions, including ordering supplies and obtaining office equipment troubleshooting/repair.
  • Organize catering for all office meetings, special events and internal meetings.
  • Coordinate and assemble special projects as required for internal trainings and other events.
  • Assist Support Operations Team Members with the creation and distribution of information and/or materials to the group as required.
  • Perform other duties as assigned.
