About The Position

The Administrative Assistant provides essential administrative and operational support to the accounting firm. This position helps maintain an organized, professional, and efficient office while supporting accountants, managers, partners, and clients. The ideal candidate is detail-oriented, dependable, service-focused, and comfortable handling confidential financial and client information. This is a part-time position with a target of 25 hours per week, averaged across the year. We are a deadline-driven industry with a high volume of work between January and April; ideally this candidate could exceed 25 hours per week at times during this season, then scale back during the summer months to balance out to the 25-hour average.

Requirements

  • High school diploma or equivalent.
  • Three or more years of administrative, office, customer service, or accounting-office experience.
  • Strong organizational skills and attention to detail.
  • Excellent written and verbal communication skills.
  • Proficiency with Microsoft Office, including Outlook, Word, and Excel.
  • Ability to manage multiple priorities and meet deadlines.
  • Professional demeanor and commitment to providing excellent client service.
  • Ability to handle sensitive and confidential information appropriately.

Nice To Haves

  • Experience working in a public accounting, tax, bookkeeping, or professional-services firm.
  • Familiarity with tax-season workflows and/or client document collection.
  • Experience with electronic document-management and workflow systems.
  • Basic understanding of accounting terminology.
  • Associate degree or coursework in business administration, accounting, or a related field.

Responsibilities

  • Answer and direct incoming phone calls, emails, and other client communications.
  • Greet clients and visitors in a professional and courteous manner.
  • Schedule client appointments, meetings, and conference calls.
  • Maintain calendars and assist with coordinating internal and external meetings.
  • Prepare, format, scan, copy, organize, and distribute documents.
  • Assist with electronic and physical filing systems.
  • Track incoming client documents and follow up on outstanding information.
  • Support tax return, bookkeeping, payroll, and accounting administration.
  • Enter and update client and contact information in firm systems.
  • Prepare engagement letters, correspondence, checklists, mailing labels, and other administrative materials.
  • Assist with document assembly, quality-control checklists, and delivery of completed client work.
  • Process incoming and outgoing mail, packages, and courier deliveries.
  • Order office supplies and maintain office inventory.
  • Coordinate office equipment, maintenance requests, and vendor communications.
  • Perform other administrative duties and special projects as needed.
