About The Position

The position is a full-time position with time split between the HTCA Office and Activities Office. The primary duties of this position will be to monitor and update the HTCA website, create web forms and update existing forms regularly. This role will also maintain new owner information and process age verification forms. Additionally, the Administrative Assistant will administer the RV/Vehicle Storage program, including lease expiration notices and the collection and processing of resident payments.

Requirements

  • High School diploma and three to five years of office experience.
  • Two years of experience with creating and updating fillable web forms.
  • Must demonstrate computer literacy.
  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
  • Ability to write routine reports and correspondence.
  • Ability to speak effectively before groups of customers or employees of HTCA.
  • Ability to calculate figures and knowledge of basic bookkeeping, finance, and accounting procedures.
  • Ability to solve practical problems and deal with a variety of concrete variables in situations.
  • Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
  • Valid Driver’s License.
  • State Mandated Vehicle Insurance.
  • Must be able to lift 25 lbs.
  • Must be able to sit or stand for extended periods.
  • Must be able to walk around all areas of the property, including long walks and walking/standing on uneven surfaces during various types of weather conditions if required.
  • Selected Candidate is subject to drug and background screening.

Responsibilities

  • Monitor and update the HTCA website, including current web forms and creation of new web forms as needed.
  • Create and post weekly news to the website.
  • Upload documents to the website.
  • Monitor and update members' accounts.
  • Help residents as needed with website navigation.
  • Assist in maintaining the Committees and club/Organizations forms and files.
  • Assist in the day-to-day operations of Activities.
  • Assist in the planning of special events.
  • Be willing to work flexible hours if needed.
  • Assist with Receptionist duties as needed for HTCA Office and Activities.
  • Attend required HTCA Meetings.
  • Assist with the phones.
  • Maintain full knowledge of the Association’s Rules and Regulations.
  • Create flyers/forms as needed.
