About The Position

PathPoint is seeking a full-time Administrative Assistant to join their team in San Luis Obispo, CA. In this role, you will use your organizational and interpersonal skills to help ensure smooth office operations by taking on a variety of administrative support projects. They are looking for a resourceful individual with strong attention to detail, with a "no task is too big or too small" mentality and a desire to use their skills to make a difference every day. They serve communities across Kern, Los Angeles, San Luis Obispo, Santa Barbara, and Ventura counties.

Requirements

  • Strong interpersonal skills with a customer service approach.
  • Professional verbal and written communication.
  • Intermediate skills in Microsoft Word, Excel, and Outlook.
  • At least 1 year of administrative or receptionist experience.
  • Must have a valid California driver's license and satisfactory driving record for completing errands in the San Luis Obispo County and Santa Barbara County areas.

  • High school diploma or GED is required

Responsibilities

  • Serve as the primary reception contact by answering incoming calls, greeting and directing visitors, and escorting vendors or service personnel as needed.
  • Open, distribute, and manage daily incoming mail and deliveries, including forwarding mail, maintaining mailing supplies, and assisting with large agency mailings.
  • Maintain electronic filing systems, tracking spreadsheets, personnel document files, and divisional records with accuracy and confidentiality.
  • Manage and track office and program supply inventory, coordinate orders, maintain equipment, and ensure supplies are stocked throughout the facility.
  • Support recruitment and onboarding processes, including phone screenings, reference checks, ApplicantPro updates, coordinating pre-employment requirements, onboarding new hires, and preparing new hire materials.
  • Support corporate finance accounts by distributing financial tracking spreadsheets, reviewing and cross-checking financial data for accuracy, and assisting with assigned account reconciliations.
  • Coordinate vendor estimates, building maintenance requests, and fleet vehicle repairs while maintaining up-to-date vehicle records in Autosist.
  • Travel between Atascadero, Grover Beach, San Luis Obispo, and Santa Maria locations to support divisional administrative and operational needs.
  • Assist with meeting setup, divisional training record tracking, event coordination, IT ticket submissions, and other administrative projects as assigned.
  • Support facility safety processes, including monthly inspections, fire extinguisher checks, and secure facility lock-up procedures.
  • Serve as the key divisional resource for fleet management by coordinating vendor estimates, facilitating vehicle repairs, tracking invoices, maintaining up-to-date vehicle records in Autosist, and supporting accurate fleet-related documentation.
