About The Position

To facilitate the educational process with students, parents, and staff by effectively and confidentially performing secretarial, clerical, and office management tasks. This role serves as the Administrative Assistant to the building administrators and counselor, performing all assistant duties with the necessary skills required for clerical support to the Administrative Team. The position requires knowledge of District policies and regulations relating to areas of responsibility.

Requirements

  • Possesses knowledge of District policies and regulations relating to areas of responsibility.
  • Valid Oregon Driver’s license with excellent driving record.
  • FBI Fingerprint clearance required.
  • Valid First Aid/CPR-AED cards, bloodborne pathogen, and EpiPen training.
  • Genuine enjoyment of working with students in a school setting.
  • Outstanding communication skills—both oral and written—which are effective across a wide variety of audiences, including students, parents, and staff.
  • Respects workplace confidentiality and maintains professional office conduct.
  • Technical competencies, including word processing, spreadsheets, email, and the like.

Nice To Haves

  • College degree or extensive administrative assistant experience preferred.
  • Experience working in a school setting preferred.
  • CPR/First aid certification for coverage of health room student issues.

Responsibilities

  • Serves as Administrative Assistant to the building administrators and counselor, performing all assistant duties with the necessary skills required for clerical support to the Administrative Team.
  • Manages the Vision System for all purchase order processes as requested/required for the District general budget and the Riverdale Grade School Student Body funds.
  • Collects, protects, and distributes Student Body funds in accordance with Board policies, state and local regulations, and standard accounting practices.
  • Collects, protects, and distributes all student fees, athletic fees, and field study funds in accordance with Board policies, State and local regulations, and standard accounting practices.
  • Works cooperatively with students, parents, staff, and community members to project a positive, service-oriented demeanor.
  • Greets and assists visitors, parents, and students with a positive, service-oriented demeanor.
  • Arranges for class coverage and substitutes as needed/ required.
  • Maintains records of substitute teachers, including monthly payroll timesheets, and submits them to the District Office in a timely manner.
  • Administers basic first aid to students with minor injuries and makes appropriate parent contact when appropriate.
  • Maintains the Principal’s calendar and assists with prioritization of appointments and meetings.
  • Schedules parent-teacher and/or parent-administrator conferences as requested.
  • Maintains and disperses petty cash accounts as needed.
  • Serves as a liaison for PTC as needed for event coordination and communication.
  • Provides clerical support to the Principal, including writing, copying, ordering, mailing, and related tasks.
  • Inputs behavioral data for PBS and creates the requested reports.
  • Acts as a school receptionist, uses independent judgment to determine appropriate actions.
  • Receives and distributes mail, packages, and other supplies.
  • Supervises students in the office.
  • Attends staff meetings and serves on staff committees as required (i.e., Site Council, Safety Committee, Leadership Team, and the like).
  • Maintains professional competence through participation in District-provided in-service activities and/or self-selected professional growth activities related to job responsibilities.
  • Takes minutes for meetings as requested or required by the Principal.
