About The Position

This position provides transactional and administrative support for the College of Natural Sciences area for Experiential & Career Learning. The role will be part of an administrative team of three people supporting multiple large academic programs and initiatives led by staff and faculty. The position will handle purchasing, ProCard and voucher processing, reimbursements, scheduling, room reservations, and day-to-day office logistics.

Requirements

  • High school graduation or GED.
  • Three years of administrative experience.
  • Experience with the Microsoft Office Suite, specifically Outlook and Excel.

  • 3 work references with their contact information; at least one reference should be from a supervisor.
  • If hired, you will be required to complete the federal Employment Eligibility Verification I-9 form.
  • You will be required to present acceptable and original documents to prove your identity and authorization to work in the United States. Documents need to be presented no later than the third day of employment.

Nice To Haves

  • Bachelor's Degree.
  • Experience with and knowledge of UT policies, procedures, and systems including DEFINE and SmartSheets.
  • Previous experience with UT accounting, purchasing, travel, and vouchering.
  • Experience working in an institution of higher education.
  • Demonstrated ability to interact professionally with different stakeholders.

Responsibilities

  • Process purchasing and ProCard transactions.
  • Process payment vouchers in DEFINE.
  • Manage credit card payment deposits/receipts.
  • Handle reimbursements.
  • Manage scheduling and room reservations.
  • Support on-campus interview logistics for the Career Services office.
  • Provide calendaring support for the Senior Director.
  • Occasionally provide event support throughout the semester.
  • Manage day-to-day office logistics for Painter Hall, including supplies, keys, and shipping/receiving.
  • Function as part of an administrative team to support all the constituents of the Experiential & Career Learning offices for their various business needs for student-facing activities.

  • Retirement Plan Eligibility: The retirement plan for this position is Teacher Retirement System of Texas (TRS), subject to the position being at least 20 hours per week and at least 135 days in length.
