About The Position

The Administrative Assistant is responsible for providing outstanding service to Karman’s external customers and guests. This position also provides internal team support to other departments and serves as the initial point of contact for all customer and guest interaction. The Administrative Assistant possesses a proactive, self-starter attitude, a proven ability to multi-task and prioritize work, and the desire to create and maintain an atmosphere of professionalism and customer service. The Administrative Assistant plays a key role in supporting smooth and effective office operations. This position reports directly to the Office Manager. Requirements

  • HS diploma
  • Strong time management skills and ability to multi-task and prioritize work
  • Excellent verbal and written communication skills
  • Familiarity with Microsoft Office (Outlook, Word, Excel, PowerPoint)
  • Must have reliable transportation
  • This position requires the use of stairs, and occasionally lifting objects up to 30lbs
  • Must be a U.S. Citizen

  • >2 years in an office administration position is preferred

Responsibilities

  • Answer incoming calls on the main office line and transfer callers to appropriate staff or department
  • Greets customers and visitors with a consistently warm, positive, helpful attitude
  • Provides guests with an exceptional customer visit by coordinating conference room scheduling, set-up, refreshments, catered lunches, and other meeting logistics as needed
  • Opens, sorts and delivers mail; scans and files documents
  • Helps maintain workplace security by handling the check-in process for all customers and visitors by issuing, checking, and collecting visitor badges as necessary, and maintaining visitor logs in accordance with security protocols
  • Ensures cleanliness and organization of all first-impression areas (including all front desks and common spaces) to Karman professional standards, and consistently demonstrates a professional personal appearance, attitude, and demeanor in accordance with company dress code and conduct expectations
  • Assists the Security team with ID badge issuance, including photographing individuals for badges, printing badges, and ensuring all required documentation is completed
  • Manages inventory of company office supplies by regularly stocking, ordering, and replenishing products throughout the facility
  • Supports general office operations by assisting with routine tasks such as printer maintenance, shred bin maintenance, and other office function needs
  • Provides occasional support as requested by other departments, utilizing organizational, interpersonal and time management skills
  • Provides routine and proactive administrative support as needed in a fast-paced, collaborative and dynamic office environment
