About The Position

We are seeking a motivated and customer-focused Medical Front Desk Receptionist / Administrative Assistant to support a fast-paced medical practice. This role serves as the first point of contact for patients and plays a critical part in ensuring a positive patient experience while supporting clinical and administrative operations. The ideal candidate is career-driven, detail-oriented, and experienced in a healthcare front office environment.

Requirements

  • Minimum 1 year of healthcare front desk or administrative experience (dental experience considered)
  • At least 1 year of Epic EHR experience
  • High School Diploma or equivalent required
  • Ability to operate a multi-line telephone system efficiently
  • Strong critical thinking skills, particularly in identifying insurance issues and scheduling specialized appointments (e.g., INR checks)
  • Working knowledge of Epic to determine appropriate office locations and provider availability
  • Professional, patient-focused demeanor with excellent customer service skills

Responsibilities

  • Greet and assist all patients and visitors in a professional and courteous manner upon arrival
  • Verify insurance eligibility, referrals, and demographic information prior to physician visits
  • Ensure patient registration records are accurate, complete, and up to date in the EHR system
  • Maintain and manage physician schedules, ensuring proper appointment scheduling and confirmations
  • Schedule and coordinate appointments for 15 physicians and 7 mid-level providers
  • Answer multi-line telephones, triage incoming calls, take accurate messages, and provide timely information to patients, physicians, and staff
  • Coordinate appointment rescheduling as needed to support clinic operations
  • Assist with urgent medication refill requests and urgent medical records requests
  • Relay messages and critical information to appropriate physicians and staff promptly
  • Post patient payments and co-pays accurately
  • Maintain a balanced daily batch and ensure financial accuracy
