Requirements

  • Holds a professional diploma of studies in secretarial studies or equivalent ;
  • Has a minimum of 5 years of relevant experience in administrative support ;
  • Is recognized for an approach focused on the satisfaction of the people served ;
  • Stands out for great rigor in task execution ;
  • Demonstrates a high level of autonomy in handling requests ;
  • Shows proactivity in problem resolution ;
  • Has advanced knowledge of the Microsoft suite (Word, Excel, PowerPoint, Outlook, Teams)

Nice To Haves

  • Has knowledge of the Planview software (asset)
  • Has experience in large-scale billing processing (asset)

Responsibilities

  • Provide administrative support to the Senior Director, including calendar management, proactive email management, as well as planning and booking business travel ;
  • Coordinate events and meetings, including room reservations and all associated logistics ;
  • Prepare expense reports for the management team, ensuring compliance with company policies ;
  • Draft, review and proofread various administrative documents ;
  • Actively participate in the onboarding process of new employees ;
  • Follow up on hours worked by consultants, manage financial accruals and ensure the processing of invoice payments for the sector ;
  • Act as the main point of contact for the team’s administrative and operational questions ;
  • Identify areas for improvement and implement optimizations in administrative processes ;
  • Carry out any other duties that contribute to the efficient operation of the team.
