About The Position

Columbia Hospitality is seeking an Administrative Assistant to provide comprehensive administrative and operational support to the General Manager and Lodge Manager in the daily management of the property. This role also supports the People & Culture/HR team and the property finance team. The ideal candidate will be detail-oriented, possess exceptional organizational skills, and have the ability to multitask in a dynamic environment. Requirements

  • Bachelors degree in hospitality, accounting, communications, business or related field is preferred

Responsibilities

  • Provide administrative and operational support to the General Manager and Lodge Manager.
  • Schedule and coordinate appointments, interviews, meetings, and conference calls.
  • Monitor and organize leadership email inboxes and manage calendar invitations.
  • Maintain organized property, project, meeting, and leadership files (electronic and physical).
  • Coordinate travel arrangements, reservations, and itineraries.
  • Assist with purchasing, invoice tracking, expense reports, and credit card reconciliations.
  • Coordinate meetings and special projects, track action items, and follow up on deadlines.
  • Handle confidential business and operational information with professionalism and discretion.
  • Provide day-to-day administrative support to the People & Culture/HR team.
  • Organize and maintain records related to training, certifications, and compliance documentation.
  • Support Columbia Hospitality initiatives, including employee training, recruiting, onboarding, and engagement.
  • Prepare monthly expense reports and credit card reconciliations for assigned leaders.
  • Prepare reports and spreadsheets related to staffing, turnover, attendance, and employee records.
  • Maintain confidentiality of employee information.
  • Provide administrative and accounting support to the property finance team.
  • Monitor and record petty cash and operational cash transactions.
  • Assist with bank deposits and other bank-related errands.
  • Support various departments with routine accounting-related tasks and financial documentation.
  • Assist with special projects, reporting, and reconciliations as needed.
