About The Position

The Administrative Assistant provides high-level administrative and operational support to the Warehouse Site Leader and leadership team. This role ensures smooth day-to-day operations by managing communications, scheduling, documentation, and compliance tasks. The ideal candidate is detail-oriented, organized, and capable of handling confidential information while supporting a fast-paced warehouse environment.

Requirements

  • High school diploma required
  • 2+ years in administrative or office support roles
  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook)
  • Ability to work onsite at the warehouse location.
  • Familiarity with safety and compliance standards in a manufacturing/warehouse environment.

  • Associate’s or Bachelor’s degree preferred
  • experience in manufacturing or warehouse environment preferred
  • SAP or similar ERP experience a plus
  • Strong organizational and time-management abilities.
  • Excellent written and verbal communication skills.
  • Ability to handle confidential information with discretion.
  • Problem-solving and adaptability in a fast-paced setting.
  • Flexibility to support occasional extended hours during peak periods.

Responsibilities

  • Manage calendars, schedule meetings, and coordinate travel arrangements for the Site Leader.
  • Prepare and distribute reports, presentations, and correspondence.
  • Maintain accurate records, files, and documentation in compliance with PepsiCo standards.
  • Handle incoming calls, emails, and inquiries professionally and promptly.
  • Assist with daily warehouse operations reporting (inventory, productivity, safety metrics).
  • Support compliance with company policies, safety regulations, and audit requirements.
  • Coordinate onboarding and training logistics for new hires.
  • Track and manage purchase orders, invoices, and expense reports.
  • Serve as the point of contact between the Site Leader and internal/external stakeholders.
  • Facilitate communication across departments to ensure alignment on priorities.
  • Organize site events, team meetings, and recognition programs.
  • Plan and coordinate warehouse events, including employee engagement activities, safety celebrations, and leadership visits.
  • Manage event logistics such as venue setup, catering, materials, and communication.
  • Ensure events align with company culture and safety standards.
  • Compile and analyze operational data for weekly/monthly reports.
  • Maintain dashboards for KPIs such as labor hours, throughput, and safety incidents.
  • Assist in preparing presentations for leadership reviews.
