About The Position

We are seeking a detail-oriented and organized administrative assistant to support our construction operations team. This is an excellent opportunity for someone looking to grow their career in the construction industry. Candidates with prior construction experience, field exposure, knowledge of construction terminology, or experience supporting construction projects are highly encouraged to apply. The ideal candidate will assist with administrative tasks, project documentation, scheduling, communication with vendors and subcontractors, and general office support to ensure projects run smoothly and efficiently.

Requirements

  • High school diploma or equivalent.
  • 1+ years of administrative, office support, or customer service experience.
  • Strong organizational skills and attention to detail.
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook).
  • Excellent written and verbal communication skills.
  • Ability to manage multiple priorities in a fast-paced environment.

Nice To Haves

  • Experience working in construction, trades, contracting, property maintenance, or related industries.
  • Familiarity with construction terminology, project documentation, and jobsite operations.
  • Knowledge of permits, subcontractor coordination, and construction scheduling processes.
  • Strong problem-solving and critical-thinking abilities.

  • Comfortable interacting with field personnel, vendors, subcontractors, and clients.

Responsibilities

  • Provide administrative support to project managers, superintendents, and office staff.
  • Answer phones, respond to emails, and direct inquiries appropriately.
  • Prepare, organize, and maintain project files, contracts, permits, and correspondence.
  • Assist with scheduling meetings, inspections, and project-related appointments.
  • Enter and update project information in company databases and software systems.
  • Track and maintain subcontractor and vendor documentation, including insurance certificates and contracts.
  • Support payroll, timecard collection, and employee onboarding documentation as needed.
  • Assist with purchase orders, invoices, and job cost documentation.
  • Coordinate deliveries, materials, and communication with vendors and suppliers.
  • Maintain accurate records and ensure documents are filed according to company standards.
  • Perform general office duties, including scanning, filing, copying, and data entry.
  • Help ensure compliance with company policies and construction project requirements.
