About The Position

The Administrative Support Staff member provides clerical, administrative, and customer service support to ensure the efficient operation of the home care agency. This position assists with office tasks, caregiver and client communications, record maintenance, scheduling support, and compliance-related documentation. The Administrative Support Staff serves as a professional representative of the agency and contributes to the delivery of quality home care services.

Requirements

  • High School Diploma or GED.
  • One (1) year of administrative, clerical, customer service, or office experience.
  • Strong organizational and communication skills.
  • Basic computer proficiency, including Microsoft Office and email systems.
  • Ability to maintain confidentiality and professionalism.
  • Strong attention to detail and accuracy.

Nice To Haves

  • Experience working in a healthcare, home care, or human services environment.
  • Knowledge of scheduling systems and electronic recordkeeping.
  • Experience with payroll, billing, or human resources support functions.

Responsibilities

  • Answer and route incoming telephone calls professionally and courteously.
  • Greet clients, employees, applicants, and visitors.
  • Monitor and respond to agency emails as directed.
  • Prepare, scan, copy, file, and maintain agency documents and records.
  • Assist with data entry and record management.
  • Maintain confidentiality of client and employee information.
  • Assist with client intake documentation and record updates.
  • Support communication between caregivers, clients, and office staff.
  • Contact clients and caregivers regarding routine scheduling matters.
  • Document phone calls, messages, and service-related information.
  • Provide excellent customer service to clients, families, and staff.
  • Assist with maintaining caregiver schedules.
  • Notify caregivers of schedule changes and updates.
  • Help identify and fill open shifts as directed.
  • Track schedule modifications and document communications.
  • Assist with caregiver recruitment activities.
  • Schedule interviews and orientation sessions.
  • Help collect onboarding paperwork and employment documents.
  • Maintain personnel files and training records.
  • Track employee credentials, training deadlines, and required documentation.
  • Ensure records are complete, organized, and filed appropriately.
  • Assist with maintaining compliance files and required documentation.
  • Support quality assurance activities and audits.
  • Help prepare reports and documentation requested by management.
  • Assist with collecting and reviewing timesheets.
  • Verify documentation for payroll processing.
  • Support billing and invoicing activities as assigned.
  • Maintain accurate records related to payroll and billing functions.
  • Maintain office supplies and inventory.
  • Assist with preparing reports, spreadsheets, and correspondence.
  • Operate office equipment including printers, scanners, copiers, and fax machines.
  • Perform other administrative duties as assigned.
