About The Position

Van Cleef Engineering Associates, LLC (Van Cleef) is a dynamic, multi-disciplined consulting civil engineering firm of Engineers, Certified Inspectors, Landscape Architects, Planners and Land Surveyors. With offices in New Jersey and Pennsylvania, we provide expertise in all of the major areas of civil engineering, municipal engineering, municipal planning, and land surveying. We are currently seeking a qualified and motivated individual to join our office in Bethlehem, PA as an Administrative Assistant. In this role, you will have the opportunity to partner closely with our technical and administrative teams to provide the support necessary to drive operational success. This is a part-time, on-site position with a minimum of 20 hours per week, with potential for additional hours.

Requirements

  • H.S. Diploma required
  • 3 + years of administrative support experience, preferably at a professional consulting firm
  • Effective and efficient communication, data management and interpersonal skills
  • Strong skills in Microsoft Office Suite (Word, Excel, Power Point)
  • Strong technical skills
  • The ability to write professionally, using proper spelling and grammar

Nice To Haves

  • Associate or Bachelor’s Degree preferred
  • experience with Deltek Vision software highly desirable

Responsibilities

  • Serve as first point of contact by answering phones and greeting visitors
  • Support the Branch Manager and Project Managers with proposal coordination and project billing
  • Manage calendars, schedule appointments, and coordinate meetings
  • Coordinate office events
  • Handle incoming and outgoing mail
  • Manage office supply ordering and inventory
  • Prepare and distribute correspondence including memos, emails, invoices, and reports
  • Create and maintain filing systems, both electronic and physical
  • Provide local support to Corporate HR in the new hire onboarding process
  • Maintain confidential personnel records with discretion and accuracy
