About The Position

The Foundation for California Community Colleges (FoundationCCC) is seeking an Administrative Assistant to join its Career Catalyst program. Career Catalyst operates as an employer of record service, providing human resources and payroll services for work-based learning opportunities for students. This role is crucial in facilitating hiring, time tracking, terminations, and payroll processes, enabling students to gain practical experience and earn a wage. The Administrative Assistant will report to the Senior Manager and will provide essential administrative support for resource development activities and special projects. The ideal candidate is a detail-oriented, problem-solving, quick learner, strong performer, and collaborative team player who is passionate about their work and committed to successful outcomes. This position is remote and requires the candidate to reside within California.

Requirements

  • Relevant AA/AS, certifications, or equivalent work experience
  • Minimum of 12 months work experience in an administrative capacity in an office environment.
  • Excellent record in customer service required.
  • Must reside in California.

Nice To Haves

  • Familiarity with human resources hiring, payroll, and termination processes
  • Experience with Salesforce

Responsibilities

  • Provide administrative support for Career Catalyst Service, including monitoring the Salesforce ticketing system, performing password resets, tracking and auditing employment and worksite documentation, and assisting with client and employee training.
  • Accurately and effectively enter data and audit the integrity of that data in Salesforce and Workday platforms.
  • Generate reports as necessary.
  • Provide administrative support for internal and external meetings, including complex scheduling, regular monitoring for schedule conflicts, meeting preparation (including preparing agendas and coordinating agenda contributions from staff members), detailed note taking, and meeting follow up (including tracking action items, sending reminders, and scheduling follow up meetings).
