About The Position

Provide administrative support to the director of assessment and development and the assigned departments. Appointing Authority and Supervision Received : The deputy court administrator of family court serves as the appointing authority. The administrative assistant reports directly to the director of assessment and development, family services. Supervision Exercised : None. Characteristics and Assigned Duties: Serve as backup for the field and residential services administrative assistants. Prepare and maintain departmental financial and administrative records. Draft, edit, and distribute correspondence, memos, and other documents when necessary. Disseminate informational messages to staff and departments as directed. Create spend authorizations to coordinate employee travel accommodations, including booking flights, hotels, transportation, and registering for conferences, trainings, and educational events. Generate reports, letters, and forms using computer systems. Provide general administrative support, including answering phones, assisting visitors, managing mail, photocopying, scanning, and maintaining organized filing systems. Coordinate and prepare complete employee hiring packets, ensuring all required forms, documents, and onboarding materials are accurate, up-to-date, and ready for distribution. Coordinate and schedule employee interviews, including communicating with candidates, arranging meeting logistics, and confirming details with interviewers. Coordinate the reservation and distribution of company vehicles, ensuring availability, proper documentation, and timely return. Order supplies as needed for the entire building, ensuring adequate stock levels and timely replenishment. Serve as back-up receptionist for front desk administrative staff, including greeting visitors, answering phones, and directing inquiries as needed. Perform other duties as required.

Requirements

  • Considerable knowledge of administrative practices.
  • Considerable knowledge of business English, spelling, punctuation, and arithmetic.
  • Considerable knowledge of court procedures and policies, legal documents, laws, and legal factors to the court.
  • Considerable knowledge of organization operations, functions, and scope of authority of the court or activity to which assigned.
  • Ability to understand and follow oral and written instructions.
  • Ability to make moderately complex decisions with laws, regulations, and departmental policies and procedures.
  • Ability to maintain administrative, fiscal and general records and to prepare reports and answer questions from records.
  • Ability to compose correspondence and to perform office management details.
  • Ability to establish and maintain effective working relationships with others.
  • Skill in the operation of standard office equipment.
  • High school diploma or equivalent plus three years of administrative or general clerical experience.
  • All candidates selected for employment will be subject to background screenings as part of the hiring process.
