About The Position

The King County Department of Adult and Juvenile Detention's (DAJD) Juvenile Division is seeking a highly proficient professional to join our team as an Administrative Specialist III. This position will report to the Juvenile Division Deputy Director and will primarily support two critical functions of the Division: Training and Employee Engagement and Appreciation. This is an exciting opportunity to join King County government and play an essential role in our vision to provide the best in trauma-informed care in a juvenile detention facility. The Department of Adult and Juvenile Detention is a professional and nationally recognized organization that supports safe, vibrant, and healthy communities in partnership with other criminal justice and human service agencies. The Juvenile Division is responsible for the care and custody of youth who are detained in the Juvenile Detention Facility and also operates King County's Alternatives to Secure Detention programs. While King County has significantly reduced the number of youth detained in our facility and continues to develop alternative programs to further reduce the reliance on detention, youth who are detained in our secure detention facility are managed in a manner consistent with national best practices in juvenile justice. Requirements

  • Four (4) years full-time clerical experience including one (1) year performing high-volume, complex administrative functions.
  • Intermediate proficiency utilizing Microsoft Word, Outlook, Excel, SharePoint, Teams, and PowerPoint.
  • Exceptional organizational skills such as attention to detail, ability to prioritize and successfully juggle multiple tasks, analytical skills, and time management skills.
  • Desire to work in a collaborative team environment.
  • Ability to problem-solve with independence and use available information to help anticipate issues before they arise.
  • Strong customer service skills including effective oral and written communication.

Nice To Haves

  • Advance proficiency utilizing Microsoft Word, Outlook, Excel, SharePoint, Teams, and PowerPoint.
  • More than five (5) years with experience in high-volume, complex administrative functions environment with skills in multi-tasking, problem solving, and analyzing information in a professional work setting.
  • Experience supporting employee engagement, including drafting communication materials.
  • Experience working in a professional setting that serves youth and families.
  • An understanding of the principles of trauma-informed care and the ability to integrate these principles into job duties when applicable.

Responsibilities

  • Assist in the organization of New Employee Orientation (NEO) to include preparing materials, entering and tracking new-hire mandatory trainings, scheduling conference rooms.
  • Provide administrative support to the Juvenile Division training team. Includes tracking training attendance and compliance, ensuring employees have access to online trainings, and entering/retrieving training data.
  • Identify, research, and resolve Training Unit issues, as needed; make recommendations and/or problem-solve solutions.
  • Assist in the coordination and facilitation of employee engagement programs and appreciation events.
  • Draft and publish communications for division-wide dissemination, including informing Juvenile Division team-members of training opportunities and employee engagement and appreciation events.
  • Work independently to prioritize work assignments and ensure tasks are completed in a timely, accurate, and efficient manner.
  • Maintain, create, update, and retrieve information utilizing Microsoft Word, Outlook, SharePoint, Excel, and other department data systems.
  • Maintain security and confidentiality of highly sensitive communications and information in all forms (i.e., written, verbal, and electronic).
  • Process payroll documents and enter necessary data into the Roster Management System.
  • Provide exceptional customer service when engaging with internal and external stakeholders.
  • Perform other related duties and responsibilities as assigned within the scope of the Administrative Specialist position.
  • Provide backfill support to peer administrative team members for critical functions: including but not limited to processing payroll, placing supply orders, routing and delivering mail, invoicing, and other duties as assigned.
