About The Position

The Administrative Assistant provides high-level administrative and operational support to the Health Administrator, Misti Valentino, and leadership team within the Acacia Health Center. This role requires strong organizational, communication, and problem-solving skills to manage multiple priorities in a fast-paced healthcare environment. The Administrative Assistant serves as the central point of coordination for the Administrator’s office, ensuring efficient workflow, professional communication, and exceptional service to residents, families, staff, and external partners.

Requirements

  • High school graduate required.
  • Excellent verbal and written English skills required.
  • Proficient in Microsoft Office Suites, Internet and Intranet usage.
  • Must be friendly, helpful, and outgoing and possess a strong desire to work with senior adults.
  • Must have excellent organizational skills, take initiative, and be an independent thinker.

  • Bachelor’s degree preferred.

Responsibilities

  • Provide comprehensive administrative support to the Health Administrator and leadership team, exercising sound judgment and maintaining strict confidentiality.
  • Handles a wide variety of situations and conflicts, summarizing the content of incoming materials and gathered information.
  • Act as the primary point of contact for the Administrator’s office, professionally managing incoming calls, inquiries, and correspondence.
  • Manage and maintain the Administrator’s calendar, including scheduling meetings, appointments, and coordinating logistics for internal and external engagements.
  • Prepare, review, and distribute reports, presentations, agendas, and other business documents with a high degree of accuracy and professionalism.
  • Coordinate meetings, including scheduling, preparation of materials, attendance, and documentation of detailed meeting minutes.
  • Support the Administrator in handling sensitive issues, gathering relevant information, and summarizing key points for decision-making.
  • Completes recurring projects and one-time projects as directed by Administrator.
  • Collaborate with Department Directors to provide administrative support across departments as capacity allows.
  • Provide backup coverage for concierge/reception functions, including front desk support, call handling, and visitor assistance during peak times or staff absences.
  • Available for residents to meet their needs and greet new residents when needed.
  • Assists Department Directors with administrative tasks when needed and/or when time allows.
  • Fills in as backup/on call Concierge for illness, lunch breaks, etc. as available.
