About The Position

Orbital Engineering, Inc. is seeking an Office Administrative Assistant to join our team to support projects in Reading, PA. This is a full-time, on-site position and candidates must live within commutable distance of Reading, PA. Candidates must be able to work in an office environment Monday - Friday. This position is NOT eligible for hybrid or remote work. Candidates with experience in supporting construction or engineering projects are strongly preferred. This position requires discretion and independent judgment with regard to support services for company and client management.

Requirements

  • High School Diploma
  • Advanced computer skills for Microsoft Office suite including word processing, spreadsheet, and presentation tools.
  • Strong organizational and multitasking skills with attention to detail.
  • Excellent communication and interpersonal abilities.
  • Three years of experience as an administrative assistant or secretary, preferably in an engineering or technical environment.
  • Ability to prioritize tasks and work independently.
  • Knowledge of basic accounting principles for budget tracking.
  • High level of discretion and confidentiality.
  • Ability to pass a post-offer drug (including marijuana) and alcohol test in compliance with Federal regulations and is also subject to random testing as a condition of continued employment.

Nice To Haves

  • Associates degree or Bachelor’s degree in business administration or a related field.
  • Familiarity with engineering terminology and documentation is a plus.

Responsibilities

  • Provide administrative support to project managers and technical managers throughout the project life cycle
  • Provide administrative support to engineering staff by managing schedules, appointments, and travel arrangements.
  • Prepare and format reports, presentations, and technical documents as required by the engineering department.
  • Assist in maintaining project related files.
  • Coordinate communication within the engineering team and external stakeholders, ensuring efficient information flow.
  • Project set-up, processing purchase orders and working with project managers for project award
  • Assist in preparing project deliverables and progress reports
  • Schedule and coordinate meetings, conferences, and events, including room bookings and catering arrangements.
  • Collaborate with HR to facilitate onboarding processes for new engineering team members.
