The Administrative Assistant is primarily responsible for answering the phones and scheduling branch individuals while maintaining quality customer service in person and on the phone. This role involves scheduling and entering residential and commercial losses into the system, managing technicians to ensure job requirements are met in a timely manner, and scanning documents into jobs while documenting appropriate notes into CRM software. The position also includes assisting with listings and pricing, additional documentation requirements for jobs, and helping the manager complete job files for billing submission. The Administrative Assistant will display a positive attitude when interacting with customers, communicate job details to project managers or lead program coordinators promptly, and handle client complaints or refer them to a supervisor as appropriate. Additionally, this role involves communicating with insurance adjusters, homeowners, and business owners about claims and scopes of work, obtaining signed contracts, and liaising with the accounting team regarding payments and collections. A background check may be required due to program guidelines through insurance carriers.
