The ideal Administrative Assistant for IDEXX's veterinary diagnostic reference laboratory is a positive, motivated, self-starter that seeks to find success through helping others and digging in to get the task done. Requirements

  • Knowledge of Ordering Systems-SAP (preferred)
  • Experience working with vendors and service representatives
  • Advanced Microsoft Office proficiency especially Excel (formulas, pivot tables, data cleanup, basic analysis), plus strong use of Outlook, Word, Teams, and SharePoint for workflow coordination
  • High organizational discipline, able to manage calendars, documents, priorities, and competing deadlines with structure and consistency
  • Initiative and self-direction, able to spot gaps, solve problems before they escalate, and doesn’t wait to be told what to do
  • Proactive ownership, able to take charge of situations, follow through without reminders, and keep others informed
  • Clear communication skills-writing and speaking in a way that reduces confusion and keeps processes moving
  • Process-minded thinking by creating checklists, improving workflows, and building repeatable systems rather than reinventing tasks each time
  • Fine attention to detail and take pride in checking items off your list
  • Master multi-tasker with the ability to shift priorities
  • Proactive, possess a can-do attitude and focus on being positive and providing solutions
  • Proven track record of managing administrative tasks in a fast-paced environment and the ability to self-manage
  • Know when to go the extra mile and how to prioritize
  • Excellent presentation skills and know how to prepare material for meeting agendas
  • Able to meet the physical requirements that go with working in a lab – standing and sitting for extended periods of time, use of hands, fingers, and arms to handle tools and controls, occasional need to climb, balance, stoop, kneel, crouch, or crawl, lift up to 25lb, and specific vision ability – close, color, depth perception, and ability to adjust focus
  • Potential exposure to biohazards, agents known to cause zoonotic diseases, and hazardous chemicals

Responsibilities

  • Ordering lab supplies
  • Assisting with inventory
  • Restocking
  • Managing vendors and other third parties by coordinating services, certifications, and inspections
  • Purchasing supplies
  • Assisting with send outs
  • Scheduling and attending meetings
  • Assisting with QA
  • Tracking all receipts for purchasing cards
  • Mail sorting
  • Assisting with deliveries
  • Other duties as needed
