About The Position

The Administrative Assistant provides day-to-day administrative and operational support to ensure efficient office operations. This role supports internal teams with scheduling, documentation, and communication needs, including administrative support for workers’ compensation and safety/compliance activities. The Administrative Assistant is highly organized, detail-oriented, and able to manage multiple priorities while maintaining professionalism and confidentiality. About PEMCCO, Inc. Requirements

  • High school diploma or equivalent required
  • 1-3 years of administrative or office support experience preferred
  • Experience supporting office operations.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Experience with document management and electronic filing systems.
  • Use of scheduling and calendar management tools.
  • Strong organizational and time management skills with the ability to manage multiple priorities.
  • Excellent verbal and written communication skills.
  • High level of attention to detail and accuracy in data entry and documentation.
  • Ability to handle sensitive and confidential information with discretion and professionalism.
  • Strong interpersonal skills and ability to work collaboratively across teams.

Responsibilities

  • Provide general administrative support, including filing, data entry, document preparation, and recordkeeping.
  • Manage calendars, schedule meetings, and coordinate logistics for internal and external meetings.
  • Serve as a point of contact for internal staff and external partners.
  • Prepare reports, correspondence, and presentations as needed.
  • Maintain office supplies and coordinate ordering as necessary.
  • Assist with tracking, organizing, and maintaining workers’ compensation documentation and case files.
  • Provide administrative support to the workers’ compensation and safety/compliance team.
  • Coordinate appointments, communications, and documentation related to employee claims or cases.
  • Maintain accurate and confidential records related to workers’ compensation and compliance activities.
  • Support data entry, tracking logs, and file management for compliance-related reporting.
  • Handle incoming calls, emails, and inquiries with professionalism and timely follow-up.
  • Assist with meeting coordination, including preparing agendas and taking notes.
  • Ensure accurate and organized documentation in shared systems or files.
  • Maintain confidentiality when handling sensitive personnel and organizational information.
